If a rate plan change is submitted solely via a form and is then processed manually, there is often a lack of transparency regarding the current processing status.

 

In a digitally supported process, the request is automatically recognized, relevant contract information is provided, and tasks are assigned to the appropriate departments. The status remains transparent to all parties involved, and documentation is created directly within the customer context.

 

The technical review remains in place. However, the organizational effort is significantly reduced.

 

Invoice inquiries are another typical example of personalized customer processes: They do not follow a completely standardized procedure, often involve multiple sources of information, and require expert interpretation. This is precisely why they illustrate so clearly why digital customer service needs more than just an intake channel.

Digital forms, emails, and customer portals are key components of modern customer service. However, they only realize their full potential when they are integrated into end-to-end processes.

 

Especially when it comes to individual customer requests, the greatest impact does not come from fully automating decisions. What is crucial is the structured management of recurring process steps: from data entry and assignment through task management to documentation and feedback.

 

In this way, municipal utilities reduce manual work, increase transparency, and shorten processing times. Employees gain more time for technical clarification and personal communication with customers.

 

Customer service doesn't become digital simply because inquiries are received online. It becomes digital when each inquiry is turned into a traceable and efficiently managed process.
