Who Is Responsible for Processing My Data?

The respective company of the Arvato Systems Group with which you have a business relationship is responsible for processing your personal data and addressee of your rights as a data subject. The Arvato Systems Group acts under the joint responsibility of all companies solely for the purpose of conducting marketing activities and pre-contractual measures. We process personal data in accordance with the provisions of the European Data Protection Regulation (hereinafter "GDPR") and the Federal Data Protection Act (hereinafter "BDSG").

In addition, the respective operators of the social media platforms are responsible for data pro-cessing. For these data processing purposes and data categories we refer to the individual social media channels, which are explained in more detail below.

What Are the Purposes of My Data Being Processed and What Is the Legal Basis?

The purposes of the processing of personal data will be determined at the time of collection on the basis of legal permits. 


We process your personal data when you visit Arvato Systems on social media channels in order to communicate with you, answer your inquiries, and conduct marketing campaigns. In addition, we collect statistical information for reach measurement and market analysis. 


The legal basis for the processing is Art. 6 I lit. f GDPR. Our legitimate interest is to be able to an-swer your inquiries. The usage analysis of our social media channels enables us to offer you an appropriate design and to continuously optimize the channels. If the purpose of your contact is to conclude a contract with the company, the legal basis for the processing of your personal data is Art. 6 I lit. b GDPR.

Is There an Obligation for Me to Provide the Data?

Your personal data is required to carry out the processing purposes described above. Without this data, we will generally be unable to perform processing.

The Arvato Systems Facebook fan pages ("Fan Page") are operated by Facebook Ltd, 4 Grand Canal Square, Grand Canal Harbour, D2 Dublin, Ireland ("Facebook"). When you visit our fan pages, Facebook processes your personal data in accordance with their privacy policy, which you can find here.


We process the following personal data:

  • Interaction on our pages: We can see when a particular Facebook user has liked or subscribed to one of our Facebook Pages. We can also assign comments on our Facebook pages to individual users.
  • Contact inquiries: We use the data you provide in the context of a contact inquiry solely to process your request.
  • Insights: We receive statistical data from Facebook about the visitors to our Facebook pages via the "Insights" function. We cannot assign this information to a specific person. Arvato Systems Instagram pages are operated by Facebook Ltd, 4 Grand Canal Square, Grand Canal Harbour, D2 Dublin, Ireland, the service provider for Instagram. When you visit Arvato Systems Instagram pages, Instagram processes your personal data in accordance with their privacy policy, which can be found here.


We use the statistical information (visits to our website, volume of interactions, information about which countries and cities our visitors come from, and statistics about the gender ratios of our visitors) about the use of the Arvato Systems Instagram pages that Instagram provides in an anonymized form via the Instagram service "Insights". Conclusions about individual users and access to individual user profiles by Arvato Systems are not possible.


We process the following personal data:

  • Your Instagram username as well as comments on our Arvato Systems Instagram pages and messages you send us via our Arvato Systems Instagram pages.
  • Your activity on our Arvato Systems Instagram pages via the Instagram Insights service, such as visits to our website, the range of posts, information about which countries and cities our visitors come from, and statistics about the gender ratio of our visitors.

  • Your LinkedIn username as well as comments and reactions to posts/articles on our Arvato Systems LinkedIn pages.

It is not possible to draw conclusions about individual users or to access individual user profiles by Arvato Systems.

  • Your X username as well as comments on our Arvato Systems X pages and messages you send us via our Arvato Systems X pages.
  • Your activity on our Arvato Systems X pages through the X Analytics service, such as visits to our Web site, the amount of interaction, information about what countries and cities our visitors come from, and statistics about the gender ratio of our visitors. 

Arvato Systems on XING

The Arvato Systems XING pages are operated by XING SE, Dammtorstraße 30, 20354 Hamburg, Germany ("XING"). When you visit the Arvato Systems XING pages, XING processes your personal data in accordance with their privacy policy, which can be viewed here.


We process the following personal data: 

  • Your XING user name as well as comments on our Arvato Systems XING pages and messages you send us via our Arvato Systems XING pages.
  • Your activity on our Arvato Systems XING pages via the XING statistics service, e.g., the number of interactions, statistics on age composition, and employment relationships of our visitors.

Arvato Systems on YouTube

When you visit Arvato Systems on YouTube, Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, as operator of YouTube, collects and processes personal data to the extent provided for in its privacy policy. The privacy policy can be found here.

  • Your YouTube username and comments posted on our Arvato Systems YouTube channel
  • Your activity on our Arvato Systems YouTube channel through the YouTube Analytics service, such as visits to our website, the number of interactions, the average length of video playback, information about what countries and cities our visitors come from, and statistics about the gender ratio of our visitors.

Who Receives My Data?

We use service providers (contract processors) who are bound by instructions and who only have access to your data to the extent and for the period necessary for the provision of the services. If these service providers process your data outside the European Union, this may result in your data being transferred to a country that does not guarantee the same data protection standard as the European Union. However, such a level of data protection can be guaranteed with a suitable guarantee. When selecting service providers, Arvato Systems takes the necessary steps to contractually ensure an equivalent level of data protection. 


We share your contact information with all companies of the Arvato Systems Group*. The level of data protection in third countries is ensured by EU standard contractual clauses.

How Long Will My Data Be Stored?

Data we process will be deleted in accordance with Articles 17 and 18 GDPR as soon as they are no longer required for their intended purpose unless their deletion is not permitted pursuant to legal retention requirements. If data are not deleted due to being required for other legally permissible purposes, the data are held in restriction and may not be processed for other purposes.

What Rights Do I Have Respecting My Data?

You have the right to request access to your personal data, which are currently stored by us. Where these data are incorrect or not up to date, you have the right to request rectification. In addition, you can request erasure and/or restriction of your data where the criteria are set out in Art. 17 and 18 of the GDPR are met. Where our processing of data provided by you is based on your consent or is subject to a contract, you may request a copy of these data in a structured, common, and machine-readable format (right to data portability).


You have the right to object to the processing of your data, Art. 21 GDPR.

If you have given us consent to process your personal data for specific purposes, you have the right to withdraw this consent at any time with effect for the future.

Is My Data Processed by Means of Automated Decision-Making, Including Profiling?
